Use case

Find Duplicate SaaS Subscriptions Across Departments

Marketing bought Asana. Engineering bought Linear. Ops uses Notion projects. You're paying three times for the same job-to-be-done — and that's the easy case.

Who this is for

Finance + IT leaders at 50–500 person companies with department-level purchasing.

When this happens

Annual budget review, finance team consolidating vendors, or a new CFO asking 'why do we have three project tools?'

The workflow

  1. 1.Connect your accounts payable feed (or upload last 12 months of vendor invoices).
  2. 2.SeatMap classifies every vendor by job-to-be-done (project mgmt, comms, design, etc.).
  3. 3.Overlapping categories are flagged with side-by-side cost + active-user counts.
  4. 4.You get a consolidation recommendation: which tool to keep, projected annual savings, migration risk.
  5. 5.Decision logged for board / audit. Renewal calendar updated.

What SeatMap detects

  • multiple vendors in the same JTBD category
  • low active-user overlap between similar tools
  • one department uses 80% of a tool the company-wide license pays for
  • free-tier tool shadow-replacing a paid one

Tools this works on

  • Asana
  • Linear
  • Notion
  • ClickUp
  • Monday
  • Trello
  • Jira

Outcome

Average finding: $24k–$78k/year in duplicate SaaS, identified in the first audit.

FAQ

What counts as a duplicate?

Tools with overlapping job-to-be-done categories AND overlapping active users. SeatMap won't flag Slack + Zoom as duplicates — different jobs. It will flag Asana + Linear + Notion projects.

We can't force every team onto one tool. Now what?

SeatMap suggests where consolidation has low political cost (e.g. department with the lowest engagement on its tool). You stay in control.

Does this require Finance to share invoices?

Either the AP feed (most common) or a CSV of vendor + spend works. We never need card numbers or bank credentials.
